How We Process Information

Depending on how you use MailMode, we may process information to provide the service you request, to operate and improve MailMode, with your consent for optional newsletter communications, or where we need to meet legal obligations.

1. Information We Collect

Pasted and Uploaded Email Content

When you paste email code or upload email files to MailMode, the content is processed to generate previews, analyse rendering and provide health checks. For normal local previewing, this processing happens in the browser where possible and the source content is not stored on MailMode servers.

ZIP Email Projects

ZIP projects are checked and unpacked in browser memory. MailMode accepts supported email and image files, blocks unsupported or unsafe files, and may convert local image assets into data URLs so they can render in the preview.

Shareable Previews

If you create a shareable preview link, MailMode stores a sanitized rendered version of the email, a long public preview token, input type, selected preview settings, creation and expiry timestamps, view count and last viewed timestamp. Anyone with the active link can view the preview until it expires or is removed.

URL Loading

If you load an email from a URL, MailMode may fetch the URL through the server and return the response to your browser for previewing. URL-loaded content is not permanently stored unless you create a shareable preview link from it.

Newsletter Signups

If you subscribe to the MailMode newsletter, we collect your email address so we can send occasional product updates, release notes, email development tips and updates about future MailMode-related apps or app releases. Newsletter subscriptions are managed through beehiiv.

Feedback and Contact Forms

If you send feedback or contact MailMode through the in-app form, we collect your message, feedback type, optional reply email and limited technical context such as page URL, browser, viewport, selected preview width, preview mode, theme, source format and timestamp. Feedback emails are sent through Resend.

Browser Preferences

MailMode stores small preferences in your browser, such as theme, preview width, dark mode option and client check selection, so the interface remembers your choices.

Analytics

MailMode uses privacy-focused site analytics, including Cloudflare Web Analytics and Vercel Web Analytics, to understand basic usage, performance and traffic trends. These tools are intended to avoid invasive tracking and do not use advertising cookies.

2. How We Use Information

We use collected information to:

• operate MailMode
• improve the platform
• generate previews and reports
• monitor reliability and performance
• respond to feedback or contact messages if you provide a reply email
• send newsletter updates, release notes and future app announcements if you subscribed

3. File Storage and Retention

Pasted code, uploaded single files and ZIP projects used for local preview are processed temporarily in the browser and are not permanently stored by MailMode.

When a shareable preview link is created, MailMode stores the sanitized rendered HTML needed to display that hosted preview. If the preview was created from a ZIP project, image assets may be embedded in that stored HTML as data URLs.

Shareable previews are designed to expire after 3 days. Expired previews are deleted by server-side cleanup, including scheduled cleanup while the server is running and cleanup when previews are created or expired links are visited.

We do not guarantee permanent storage of uploaded content or shareable previews.

4. Newsletter Emails

Newsletter subscriptions are optional. When you subscribe, your email address is sent to beehiiv so MailMode can manage newsletter delivery.

Newsletter emails may include MailMode updates, release notes, email development tips and announcements about future apps or app releases from the same creator or team.

You can unsubscribe at any time using the unsubscribe link in any MailMode newsletter email.

Feedback and contact messages are separate from newsletter subscriptions and are not managed by beehiiv.

5. Third-Party Services

MailMode may use third-party providers for:

• hosting and infrastructure, including Vercel
• temporary hosted preview storage, including Vercel Blob where configured
• analytics and performance measurement, including Cloudflare Web Analytics and Vercel Web Analytics
• newsletter management, including beehiiv
• feedback and contact email delivery, including Resend

6. Cookies and Local Storage

MailMode does not use advertising cookies. Cloudflare Web Analytics and Vercel Web Analytics are intended to run without analytics cookies.

MailMode uses browser local storage to save interface preferences such as theme, preview width, dark mode option and client check selection. These preferences stay in your browser and can be cleared through your browser settings.

7. Data Security

We take reasonable measures to protect uploaded content and personal information.

MailMode strips or disables scripts and other unsafe markup where possible before hosted previews are stored and displayed. Hosted previews are still public to anyone with the link until they expire, so you should avoid sharing sensitive or confidential content.

However, no online service can guarantee absolute security.

8. Your Rights

You can contact MailMode to ask about access, correction, deletion, restriction or objection where applicable. You can unsubscribe from newsletter emails using the unsubscribe link in any newsletter email.

If you are in the UK and are unhappy with how your data is handled, you may also contact the UK Information Commissioner’s Office.

9. Sensitive Information

MailMode is intended for email preview QA. Do not upload, paste, fetch or share sensitive, confidential or personal information unless you are comfortable with how the relevant feature works.

10. Children’s Privacy

MailMode is not intended for children under 13.

We may update this Privacy Policy from time to time.
